Email Management UK Businesses Can Actually Hand Over

An agent on the mailboxes you already run — Microsoft 365, Outlook, Google Workspace — sorting, drafting and escalating, with your data processed under UK GDPR and nothing migrated.

AI email management in the UK means an agent works on your existing mailboxes rather than replacing them. It reads and sorts every message, drafts replies from your own prices and policies, escalates what needs a person, and processes data under UK GDPR.

See it draft against your inbox

We show drafts against realistic examples from your sector first. Nothing connects to a live mailbox until you say so.

Two Things That Are Genuinely UK Questions

Most of what an email agent does is the same anywhere. Two things are not, and both come up in every conversation we have with a UK business.

Where the mail content is processed. Email is the single richest store of personal data most businesses hold — client names, health details, financial arrangements, whatever people happen to write down. Processing it under UK GDPR and the Data Protection Act 2018, with the ICO as the regulator you would actually deal with, is not a formality. We run on UK and EU infrastructure under a standard processor agreement, and you set retention.

The Christmas and bank holiday backlog. This one is peculiarly British in scale. Between eight and ten bank holidays plus a near-universal shutdown between Christmas and New Year means most UK businesses spend several working weeks a year with nobody reading the inbox — and the enquiries that arrive in that window are precisely the ones with time to shop around.

An agent covers both. Nothing accumulates over the shutdown, because sorting and drafting carry on. Several of our clients say the January return — opening a triaged inbox with replies already waiting instead of nine hundred unread — was the moment the service justified itself.

Email Management UK: Common Questions

Does it work with Microsoft 365?

Yes, and that matters here because Microsoft 365 is what most UK SMBs run. Outlook, Exchange Online, Google Workspace, Gmail and shared mailboxes such as info@ and enquiries@ are all supported without migrating anything.

Where is our email content processed?

On UK and EU infrastructure, under UK GDPR and the Data Protection Act 2018 with the ICO as regulator, under a standard processor agreement. Access is limited to the mailboxes you connect and can be revoked at any time.

Can it cover several sites or brands from one setup?

Yes. Shared service knowledge is defined once; per-mailbox rules, escalation contacts and tone can differ per site or brand. A policy change is made once rather than emailed round and half-applied.

What happens over bank holidays and the Christmas shutdown?

The agent keeps sorting and drafting, so you return to a triaged inbox with replies waiting rather than a fortnight of backlog. That period is where UK businesses accumulate most of their unanswered enquiries.

Is inbox management UK-specific in any way?

The technology is not, but the compliance and the mail stack are. We work to UK GDPR rather than an overseas regime, and we assume Microsoft 365 rather than whatever a US vendor assumes.

Will it send replies without approval?

Not unless you release a category. Everything starts in drafts for a one-click send; you release simple categories once you trust them and keep reviewing anything with money or risk in it.
