Email Management: Common Questions
Does the AI send email without us seeing it?
Only if you want it to. Most clients start in draft-only mode — every reply waits in the drafts folder for a one-click send. Once you trust a category, you can let that one send automatically and keep the rest under review.
How does it know how we write?
It learns from your sent folder and from the answers you already give. The first week is a calibration period where you correct drafts; those corrections feed straight back in, and the drafts stop needing edits.
Is this email inbox management or just another filtering tool?
Filters move mail; they do not read it. This is email inbox management in the fuller sense — the agent understands what each message is asking for, drafts the answer, and decides what a person still needs to see.
Which email systems does it work with?
Microsoft 365 and Outlook, Google Workspace and Gmail, and shared or team mailboxes such as info@ and enquiries@. Those shared inboxes are usually where the biggest backlog is hiding.
What happens to email it should not touch?
You define the no-go list — complaints, legal matters, anything from a named client, anything mentioning specific words. Those are never drafted automatically; they are flagged, summarised and put in front of a person.
Is our email data safe?
Processing runs under UK GDPR and the Data Protection Act 2018 with the ICO as regulator, under a standard processor agreement. We access only the mailboxes you connect, and you can revoke that access at any time.
How long before it saves us time?
Usually within the first fortnight. Week one is calibration and feels like extra work; from week two the drafts are mostly right and the sorting alone takes a visible bite out of the morning.
