Software Makes You Faster. It Does Not Do the Job.
There is a pattern we see often enough to name it. A business buys email management software, spends a good weekend setting up rules, labels and templates, and genuinely does get faster. Three months later the rules are stale, the templates are half-used, and the inbox feels the same. Nothing was wrong with the software. The work simply never moved.
That is the structural limit of tooling: a tool changes how quickly a person does the task, but a person still does it. If the underlying task is “read this, decide what it is, write a reply we have written hundreds of times”, then a 20% speed-up on a task that should not exist is a modest prize.

What is the best email management software for a small business?
It depends whether your problem is finding things or answering things. For finding, a good tool with search and shared queues is enough. For answering — the same reply typed for the four-hundredth time — no amount of tooling helps, because a person still writes it.
How is a managed AI agent different from email management tools?
Tools give you controls and expect you to use them. A managed agent does the sorting and drafting itself, and we configure and maintain it. You are buying an outcome rather than a licence and a learning curve.
Do we have to replace our current email system?
