Private AI for Dental Practices: Patient Letters That Never Leave
A practice manager who drafts a referral letter in a public chatbot has just sent patient information to a company nobody in the practice has assessed. Private AI gives them the same assistant on a machine in the practice office.
£500 per month for the software and the hardware rental. You rent the machine — you don’t buy it.
Private AI for dental practices is a ChatGPT-style assistant running on a dedicated machine inside the practice, so patient letters, referrals, complaint files and policies never reach a third-party provider. It reads the practice’s administrative documents, stays out of the clinical record, and is installed and supported by us.
See what a private assistant would read
A short call with the practice manager or principal. If your paperwork does not justify a machine, we will say so.
Private chat, document spaces and assistants on one machine in the practice office. Patient information never leaves the building.
Cloud Agents for the Front Desk, Local AI for the Records
The phone and the enquiry inbox are not where a practice’s confidentiality problem lives, so most practices run those on our hosted agents and keep patient documents on the Local AI machine.

The Ban Does Not Work. The Alternative Does.
Staff at dental practices who need a letter drafted quickly are already using a chatbot. A blanket ban moves that out of sight; it does not stop it.

Every Useful Document in a Practice Is Patient Information
The GDC expects every member of the dental team to protect patients’ information, and a practice takes that seriously in every system it chooses. Then a busy afternoon happens: a referral letter to write, a complaint response due, a treatment plan letter that needs to sound like the practice rather than a template. The quickest tool is a public chatbot, and the letter goes in, patient name and all. Nobody meant any harm. There is also no record of where it went.
A practice cannot fix that with a ban, because the need is real. It can fix it by putting the assistant in the building. Private AI for dentists is a machine in the practice office running the model itself; the letters, policies, SOPs and correspondence you import stay on it, and so does every conversation. Nothing is sent anywhere to produce a draft. The practice remains the data controller and its retention policy keeps applying.
What the practice manager gets is the tool they were already using, minus the exposure: a private chat assistant that drafts a referral or a complaint response from the file and the practice’s own policy; document spaces that find the safeguarding policy and its review date with the page cited before a CQC visit; a custom assistant for the monthly compliance check. Sign-in is the Microsoft 365 or Google Workspace account staff already have.
What it does not do is anything clinical. It is not connected to the practice management system, it does not read the clinical record, and it is not for radiographs or diagnosis — we say that plainly because the private chat accepts images and someone will be tempted. We install it, import the first folder and train the office; updates and support stay with us.
A practice that has had a data breach scare tends to arrive at this page with one question: can we prove where the letters went? On a machine in the practice office, the answer is that they went nowhere. The chat history and every uploaded file are on the machine, readable by the practice, and there is no third-party log to request. That is the difference between a privacy setting and private AI, and it is the one the practice’s data protection lead cares about.
One Private AI Machine, Three Tools On It
Everything runs on the one machine in the practice, and your team log in with the accounts they already have.
A private AI chatbot for the whole team
A ChatGPT-style assistant on your own machine. Staff ask questions, upload documents and images and work through drafts, and none of it leaves the building.
Document spaces
Files and correspondence organised into spaces. Search, summarise and compare across hundreds of documents, with a citation to the page every answer came from.
Custom assistants
The monthly report, the standard memo, the routine check — built around your workflows and running on the same machine, covered by the support arrangement.
| Document | What the practice asks for | What stays where |
|---|---|---|
| Referral letters and replies | Draft the referral; summarise what came back | On the machine, in the practice |
| Treatment plan and recall letters | Draft in the practice’s wording from the plan | On the machine, in the practice |
| Complaints | Draft a response from the file and your complaints policy | On the machine, in the practice |
| Policies, SOPs, audits, training records | Find it, check the review date, cite the page | On the machine, in the practice |
| Supplier and lab contracts | Compare terms, flag the differences | On the machine, in the practice |
| Clinical records and radiographs | Not used — stays in the practice system | Your practice management software |
From Practice Manager’s Call to a Private Assistant in the Office
Weeks, not months. Most practices start with the policies folder or the referral correspondence and widen from there.
A call with the practice manager
NHS, private or mixed, how many staff, which paperwork goes first. We specify the machine from that.
Install and import
The machine goes on the practice network. Sign-in connects to your Microsoft 365 or Google Workspace. Policies, SOPs and correspondence are imported into spaces.
Train the team, then support
We train the practice manager and reception first, then keep the software and models current, with support from the people who installed it.
Where Local AI Is the Wrong Answer
We would rather lose the enquiry than the trust. Three things we tell every prospect before they sign anything.
It will not make you compliant by itself
No product can make a business UK GDPR-compliant on its own. What private AI does is remove the hardest question from the assessment — where the personal data goes. Lawful basis, retention and staff conduct remain yours.
It is slower than the big cloud models
Open-weight models on a single machine are capable for summarising, drafting and answering questions about your own documents. For frontier reasoning on hard, novel problems, the largest cloud models are still ahead. That is the trade.
It is a weeks-long install, not a sign-up
A cloud agent is live in days. Local AI needs the machine specified, delivered, installed on your network and your documents imported. Weeks, not months — but not tomorrow.
Private by Construction, Not by Policy
Nothing leaves the building
Open-weight models, documents and chat history all live on the box. No third-party AI processor and no restricted transfer for the AI step.
Your sign-in, your access list
Single sign-on with Microsoft 365 or Google Workspace. You decide who has access with the tools you already administer.
Never trained on your content
Your documents and conversations are not used to train or improve any model. The models arrive trained and stay that way unless you ask.
Installed and supported by us
Hardware, installation, training, updates and support from one team, with a data processing agreement covering the support access you grant us.

Private AI for Dentists: Common Questions
What is private AI?
AI that processes your prompts and documents on hardware you control instead of on a provider’s servers. With ours, the model, the chat history and every uploaded file stay on a machine in the practice. Nothing is sent to an outside service to produce an answer.
Is a private LLM as good as ChatGPT?
For everyday work — summarising, drafting, extracting, answering questions about your own documents — it is capable and most offices are happy with it. It is somewhat slower, and the largest cloud models are still ahead on hard, novel reasoning. That is the trade for keeping data in-house.
Is a private AI chatbot really safer than a public one with a privacy setting?
Yes. A privacy setting promises the provider will not train on what you paste; the patient letter still leaves the practice and sits on their servers. With a machine in the practice office, the model, the documents and the chat history never leave the building.
Which staff should use it first?
The practice manager and reception, because that is where the letters, complaints and policies live. Clinicians can use it for administrative drafting too, but the clinical record stays in the practice system and clinical decisions stay with the clinician.
Can the practice see what staff have used the assistant for?
Yes. Chat history lives on the machine in the practice, so the practice manager or data protection lead can review what was asked and what was uploaded. There is no third-party log to request, because nothing was sent to a third party.
Does it connect to our practice management software?
No, and that is deliberate. The clinical record stays in your practice system. It works on the documents around it — letters, policies, correspondence, contracts — which are imported into document spaces on the machine.
Can it read clinical photographs or radiographs?
The private chat accepts images, but we advise against using it for anything clinical. It is for the practice’s administrative documents. Diagnosis and treatment decisions stay with the clinician.
How much does Local AI cost?
£500 per month for the software and the hardware rental. The dedicated machine is rented to your business, not sold: you never buy the hardware. It is installed in your building and runs the private chat, document spaces and assistants. Local AI is for business customers only.
