What Actually Happens When Someone Rings

“AI receptionist”, “AI answering service” and “AI voice agent” are all used for the same thing, and between them they cover everything from a glorified voicemail to a full conversational agent. So it is worth being specific about what actually happens on a call.

The agent answers on the first ring with your greeting. The caller talks normally — no “press 1 for bookings” — and the agent works out what they want. If it is a question it knows the answer to (opening hours, whether you take NHS patients, where to park, what a treatment costs), it answers and asks whether there is anything else.

If it is a booking, it checks your live calendar, offers the slots that genuinely exist, takes the caller’s name and number, and writes the appointment back. If it is something it should not touch — a complaint, a clinical question, an angry customer — it says a colleague will call back, captures the detail, and marks the summary urgent.

Callers interrupt, change their mind, give a mobile number with a digit missing and correct it three sentences later. The agent handles that the way a person would, because it is following the conversation rather than a script tree. When it genuinely does not understand, it stops guessing and takes a message — which is the behaviour you want at 11pm.

Do callers know they are talking to an AI receptionist?

The agent introduces itself as a virtual assistant for your business. Most callers carry on without comment; the ones who ask are told plainly. We never claim it is a human, and the greeting wording is yours to set.

What happens if the AI receptionist cannot answer something?

It says so, takes a full message and either transfers the call to a named person or flags it for urgent callback. Anything outside its brief becomes a written summary in your inbox within seconds, not a lost caller.

Can it book directly into our existing calendar?

Yes. It reads live availability from Google Calendar, Outlook or most practice-management systems, offers only real slots, and writes the booking back with the caller’s details attached.

How long does setup take?

Do we have to change our phone number?
