Email Management for Solicitors That Never Drafts Advice
Fee earners lose hours a week to “any update?” emails and routine correspondence. An agent handles the routine half and stops dead at anything that needs a qualified opinion.
AI email management for solicitors means an agent handles a firm’s routine correspondence instead of a fee earner. It sorts messages by matter, drafts progress updates and administrative replies, captures new enquiries in full — and never drafts anything that could constitute legal advice.
See it draft against a firm inbox
We show drafts against realistic legal examples first. Nothing connects to a live mailbox until you say so.
A solicitors firm inbox: routine client updates drafted, document chasers handled, and anything touching advice held back for a fee earner to approve.
Routine Correspondence Versus Legal Work
A fee earner’s inbox contains two completely different jobs, charged at the same hourly rate.
| What arrives | Needs a qualified opinion? | Who should handle it |
|---|---|---|
| “Any update on my matter?” | No | Agent, from matter status |
| Chasing a signed document | No | Agent |
| New enquiry from a prospective client | Not to capture it | Agent captures, fee earner advises |
| “Do I have a case?” | Yes | Fee earner, always |
| Limitation or merits questions | Yes | Fee earner, always |
| Anything unhappy | Yes | Your team, flagged immediately |
Why “Careful” Is Not Good Enough
Every solicitor asks the same first question, and it is the right one: what stops it writing something that looks like advice? The honest answer is that being careful is not a control. A system instructed to “be cautious about legal questions” will still produce a hedged, plausible, well-written sentence — and a hedged sentence about limitation from your firm’s email address is exactly the problem.
So the design is different. Certain categories of message are not drafted at all. When a client asks whether they have a case, how long they have to bring a claim, or what they should do about the other side’s letter, the agent produces nothing to send. It captures the question, flags the matter, and puts it in front of a fee earner. There is no clever option available to it in that moment.
What that leaves is still substantial. The “any update?” email is the single most common thing in a conveyancing inbox and requires no judgement at all — it requires knowing where the matter is, which the agent can be told. Document chasers, appointment arrangements, fee structure questions, acknowledgements: all of it consumes fee earner time and none of it is legal work.
There is a secondary benefit firms tend to notice later. Because every message and draft is logged and timestamped, you end up with a cleaner record of what was said to a client and when — which matters if a client care question ever arises.
Fee Earner Time Back
Progress updates drafted
The most common email in a conveyancing inbox, answered from matter status rather than by interrupting a fee earner.
Intake captured in full
Matter type, parties, timescale and source — structured so a new enquiry arrives workable rather than raw.
Advice never drafted
Merits, limitation and strategy questions produce nothing to send. They are flagged, captured and escalated.
| The agent handles | Always a fee earner |
|---|---|
| Matter progress updates and chasers | Any legal advice, however general |
| New enquiry intake and capture | Merits, prospects and limitation |
| Fee structure questions you have supplied | Quoting on a non-standard matter |
| Appointment arrangements and acknowledgements | Complaints and Legal Ombudsman matters |
| Sorting and routing to the right file handler | Anything the agent has no source for |
What Our Clients Say
What sold it was that it refuses to answer anything close to advice. Our previous setup was far more willing to have a go.
The “any update?” emails alone were costing us hours a week across the team. That is simply not a thing any more.
Built With the Risk in Mind
Advice is prohibited
Not “handled carefully” — certain categories produce no draft at all.

Every message and draft logged and timestamped, with retention your firm controls.
Draft-first by default
Nothing sends until you have watched a category get it right and released it.
UK data handling
UK GDPR and the Data Protection Act 2018, ICO as regulator, processor agreement in place.

Law Firm Email: Common Questions
Could it accidentally give legal advice?
The prohibition is configured with a fallback behaviour rather than left to discretion. When a message approaches merits, prospects or limitation, the agent does not attempt a careful hedged reply — it flags the message for a fee earner and drafts nothing.
What can it safely draft for a law firm?
Progress updates from the matter status you give it, document chasers, appointment arrangements, fee structure questions you have supplied, and acknowledgements. In other words, the correspondence that consumes time without requiring judgement.
How does it handle new enquiries?
It captures intake properly — matter type, parties, timescale, how they found you — in your firm’s own structure, so a fee earner opening it on Monday can act rather than email back asking the basics.
What about client confidentiality and SRA obligations?
Processing runs under UK GDPR and the Data Protection Act 2018 with the ICO as regulator, under a processor agreement. Confidentiality duties remain with the firm; you control which mailboxes are connected and how long anything is retained.
Will it touch anything heading for a complaint?
No. Complaints and anything with that tone are flagged and routed untouched. Complaint handling carries Legal Ombudsman implications and stays entirely with your team.
Does it work with our case management system?
It works on your mailboxes — Microsoft 365, Outlook, Google Workspace. Where matter status can be read from your case management system we use it for progress updates; where it cannot, the agent asks rather than guesses.
Try to Make It Give Advice
We will show you drafts against realistic legal examples, including the ones you would most want it to refuse. That is the test that matters.
