The Only Three Questions That Matter
Our scoping call is mostly one exercise: find the jobs in your week that are repetitive, rule-based and high-volume, then test each against three questions. Almost every good automation decision falls out of them.
Does it happen often enough to matter? A task done twice a month is not worth automating however irritating it is. The maths only works when something happens daily, or many times a day. This question alone eliminates most of what people arrive wanting to automate.
Could you write down how to do it? Not perfectly — but if you sat a new starter down, could you explain the rules? If yes, an agent can follow them. If the honest answer is “you just get a feel for it”, that is judgement, and judgement is where automation goes wrong expensively.
What is the cost of getting it wrong? A mis-sorted email costs a minute. A wrongly quoted price costs a margin. A missed clinical urgency costs far more. High-stakes tasks are not off the table, but they need the agent to escalate rather than decide — and that changes the design.

AI Consultancy: Common Questions
What do AI consultants actually deliver?
It varies wildly, which is the problem. Some deliver strategy documents and workshops; others deliver working systems. Ask any firm what they have live in production, who supports it, and what it cost — the answers separate the two kinds quickly.
Do we need a strategy before we build anything?
For most small and medium businesses, no. A strategy is worth paying for when you have many competing options and real budget at stake. When you have one obviously annoying repetitive job, building it teaches you more than planning does.
What does AI consulting cost?
Our first scoping call is free because it is as much use to us as to you. Paid consultancy beyond that is quoted per piece of work, and we would usually rather put that money into building something you can judge.
Will you tell us not to use AI?
Regularly. If the task needs professional judgement every time, if the volume is too low to matter, or if the real problem is an undocumented process, AI will not fix it. Saying so on the first call is cheaper for everyone.
Do you work with businesses that have no technical staff?
That is most of our clients. You need someone who understands how the work currently gets done. We handle the technical side, including integrations with your calendar, mailbox and practice-management systems.
Can you review something another supplier built?
Yes. A second opinion on a stalled or underperforming AI project is a common request, and we will give you an honest read on whether it is salvageable or should be replaced.
