Automated Email Response That Actually Answers
An auto-reply tells someone you got their message. This writes the answer — the price, the availability, the next step — using your own words, and puts it in drafts for you to send.
An automated email response is a reply sent without a person writing it. The useful kind answers the question: it reads what was actually asked and drafts a real reply from your prices, policies and past answers, rather than acknowledging receipt and promising a human later.
See it answer your most common email
Bring us the email you are tired of typing. We will show you the drafted answer before anything touches your mailbox.
A dental enquiry answered properly — treatment, rough price, next available appointment — instead of “thanks, we will be in touch”.
Acknowledgement Is Not an Answer
Three things get called automated email responses. Only one of them saves anybody time.
| Auto-reply | Template library | AI-drafted response | |
|---|---|---|---|
| Reads the question | No | No | Yes |
| Answers the question | No | Approximately | Yes, with your specifics |
| Human effort per email | None, and none saved | Pick, paste, edit | Read and send |
| Sender’s experience | Still waiting | Slightly generic | Got what they asked for |
| Goes stale when | Always was stale | Prices or services change | Nothing — we keep the source current |
The Enquiry That Waited Until Tuesday
Someone emails on Friday at four. They want to know whether you do a thing, roughly what it costs, and how soon. It is a two-minute reply for anyone who knows the answer, and it sits unopened until Tuesday morning because Friday afternoon was busy and the weekend happened.
By Tuesday they have emailed three other businesses. One of them answered on Friday evening. The work is gone, and nothing appears in any report anywhere — there is no metric for the enquiry you answered too slowly, which is precisely why the problem persists for years.
An automatic email response that says “thanks, we will get back to you” changes nothing about this story. The sender is still waiting on Tuesday. What changes it is a reply that arrives at five past four on Friday containing the actual answer — yes we do that, it is usually around this much, the next slot is Thursday, here is how to book.
That is the whole argument for drafting rather than acknowledging. Speed is only valuable if the fast thing is useful. And because the draft is built from your own prices and policies, the fast answer is also the right one — which is the part people are rightly nervous about.
From Corrections to Confidence
We load your answers
Price list, policies, opening hours and the replies already sitting in your sent folder. That becomes the only source the agent may answer from.
You correct the drafts
For a couple of weeks everything waits in drafts. Your edits are the training signal — there is no separate configuration to write.
You release what you trust
Category by category, on your judgement. Most clients automate the simple enquiries and keep reviewing anything with money or risk in it.
| Good candidates for automated response | Kept for a human |
|---|---|
| Do you do X, and roughly what does it cost? | Complaints and anything unhappy |
| When is your next availability? | Anything needing professional judgement |
| Where are you, what are your hours, do you have parking? | Negotiations and bespoke quotes |
| Can you send me the form or the details? | Named clients on your escalation list |
| Chasers and confirmations on existing jobs | Anything the agent has no source for |
What Our Clients Say
People reply saying thanks for getting back so quickly. On a Sunday. That never used to happen.
We kept the sensitive categories under review and let the simple ones go automatic. Being able to draw that line ourselves was the thing that sold it.
Fast Answers You Can Stand Behind
Sourced, not invented
The agent answers only from your loaded prices and policies. No source, no answer — it routes to you instead.
You draw the line
Which categories send automatically and which always wait for a person is your decision, changeable any time.
Learns from your edits
Your corrections are the training. Nobody has to write configuration or maintain a template library.
UK data handling
UK GDPR and the Data Protection Act 2018, ICO as regulator, access limited to the mailboxes you connect.

Automated Email Responses: Common Questions
How is this different from an auto-reply?
An auto-reply is one fixed message sent to everybody — it acknowledges, it does not answer. This reads the specific question and writes the specific answer, so the sender gets what they asked for rather than a promise of a later reply.
Will it send automatic email responses without approval?
Not unless you decide it should. Everything starts in drafts. Once a category has been consistently right for a few weeks you can release that one to send on its own, and keep reviewing the rest.
What stops it inventing a price or a policy?
It answers only from what we have loaded — your price list, your policies, your past answers. Where it has no source it says it will check and routes the message to you, which is the behaviour you want.
Can it handle an inbox manager role for a shared mailbox?
Yes, and shared mailboxes are where it earns most. Nobody has to decide whose job a message was, because everything arrives sorted with a draft attached and an owner suggested.
Does this help with how to organise emails, or only replies?
Both. Drafting is the visible half; the sorting underneath is what stops the backlog rebuilding. Messages are filed by what they actually are, so the folder structure stays meaningful without anyone maintaining rules.
How accurate are the drafts at the start?
Roughly right in week one and needing edits; largely send-ready by week three. Every correction you make feeds back in, so the improvement comes from your own edits rather than from us tuning in the background.
Bring Us the Email You Hate Typing
Send us the question you answer fifteen times a week. We will show you the drafted reply, built from your own prices and policies.
