One Machine in the Back Office, Nothing in the CRM
Estate agency IT is usually a CRM chosen years ago, Rightmove and Zoopla feeds, a shared drive and whatever the franchisor mandates. An on-premises AI system does not touch any of it. It is one machine in the back office, on the branch network, that reads the documents you put on it — sales and lettings files, tenancy agreements, AML customer due-diligence files, landlord instructions, templates — and drafts, summarises and answers questions from them. What it drafts goes back to the CRM or the portal by a person pasting it.
That is the right shape for a branch for two reasons. The first is the data: a branch holds a great deal of personal information that belongs to other people — tenants’ references, landlords’ bank details, vendors’ circumstances, the identity documents HMRC expects an estate agent to collect for anti-money-laundering checks — and none of it should be pasted into a public chatbot. On the machine, none of it leaves the building.
The second is who runs it. Multi-branch agencies have head-office IT; independents have the manager. Either way we do the install: specify the machine after a call about sales, lettings or both and which paperwork goes first, deliver and install it on the branch network, connect the Microsoft 365 or Google Workspace sign-in staff already use, import the files and templates, and train negotiators and managers on what it does and what it is not for.
A custom assistant can then go through an AML file and list which documents are present and missing against the branch’s own checklist. It does not verify anyone’s identity and it does not make the risk assessment; a person does. Updates, model upgrades and support stay with us, and a second branch is a second machine, not a second project.

What is on premises AI?
A system where the AI models run on hardware inside your own building instead of on a provider’s servers. Your documents, prompts and chat history stay on that machine. Ours is a dedicated computer we supply, install in the branch and support.
What hardware does an on premise AI server need?
It depends on how many people use it and how large your document set is. We size and specify the machine for you after a short call — the same conversation decides which team goes first.
We have several branches. One machine or several?
Start with one branch and one job — the lettings files, or the AML checklist. Once it has earned its place, each further branch is its own machine on its own network, installed the same way. We size each one for the team that will use it.
Does it need to talk to our CRM to be useful?
No. The value is in the documents — tenancy files, sales files, AML records, landlord correspondence — which are exported to the machine. Listing drafts and summaries go back to the CRM or the portal by a person pasting them, which keeps both systems exactly as they are.
Does it connect to our CRM or the portals?
No. Rightmove, Zoopla, OnTheMarket and your CRM stay exactly as they are. Documents and correspondence are exported into spaces on the machine; what the assistant drafts is pasted back by a person.
Can it help with AML files?
As an assistant, yes. A custom assistant can go through a customer due-diligence file and list which documents are present and which are absent against your own checklist. It does not verify identity and it does not make the risk assessment; a person does.
How much does Local AI cost?
£500 per month for the software and the hardware rental. The dedicated machine is rented to your business, not sold: you never buy the hardware. It is installed in your building and runs the private chat, document spaces and assistants. Local AI is for business customers only.
