The Data in the Folder Is Not the Agency’s to Share
An estate agency’s files are unusual in one way: almost none of the personal data in them belongs to the agency. Tenants’ references and bank details, landlords’ instructions and account numbers, vendors’ circumstances, buyers’ mortgage positions, and the identity documents collected because HMRC supervises estate agents for anti-money-laundering — all of it is held on trust for someone else. Pasting a tenancy file into a public chatbot to get a summary shares all of it with a provider none of those people agreed to.

Lettings managers ask one more thing: what about the photographs? Property photos, tenant ID scans and inventory images are uploaded to the private chat like any document, and like any document they stay on the machine in the branch. Nothing about an image makes it leave the building, and nothing about an ID scan makes the assistant able to verify it — a person still does that.

What is private AI?

Is a private LLM as good as ChatGPT?
For everyday work — summarising, drafting, extracting, answering questions about your own documents — it is capable and most offices are happy with it. It is somewhat slower, and the largest cloud models are still ahead on hard, novel reasoning. That is the trade for keeping data in-house.
Can negotiators use it for listing copy?
Yes, and it is usually the first thing they do: viewing notes in, a first draft in your house style out, with the material-information items checked against the file. The agent still confirms the facts before it goes on the portal.
Why is a private AI chatbot better than the chatbot they already use?

Can we upload tenant ID scans and inventory photos to it?

No. Rightmove, Zoopla, OnTheMarket and your CRM stay exactly as they are. Documents and correspondence are exported into spaces on the machine; what the assistant drafts is pasted back by a person.
Can it help with AML files?
As an assistant, yes. A custom assistant can go through a customer due-diligence file and list which documents are present and which are absent against your own checklist. It does not verify identity and it does not make the risk assessment; a person does.
